It's been a huge year here at Hapana - thank you to all of the amazing, ambitious fitness brands that we had the pleasure of partnering with this year. It’s been our privilege to fuel your growth.

In 2025, we:

  • Attended 7 networking events, where we got to speak with fellow industry experts  
  • Learned the ins and outs of our clients’ goals at 7 brand conferences 
  • Got inspired at 3 huge fitness trade shows, including HFA, Athletech, and Fitlife
  • Had over 150 site visits for in-person connections and check-ins

2026 will be bigger and better than ever. We have heaps planned - but first, let’s reflect on what we’ve achieved together.

Here are 15 revenue-driving feature updates we launched this year - and counting!

3 new member app experiences

Your members are the lifeblood of your brand. Your members are your community, your built-in marketers, your best advocates. This year, we focused on giving them tools to bring others into the fold.

1. Membership guest passes

Guest Passes make it easy for members to bring new faces into your community, helping you attract leads, improve engagement, and increase referrals, all while rewarding your most loyal members.

2. Shared credits

Members can use their own package credits to book authorised buddies into sessions, even if the buddy has no credits available. Perfect for families, couples, and training partners.

3. Smarter buddy bookings

Toggle on the ability for members to see all their buddy sessions in the app – whether booked by the member, by the buddy, or by staff.

4 wins to help out your staff with admin

We launched new features to cut admin time, tighten security, and give your staff more control.

1. Custom reservation policies

Fill sessions more strategically by setting custom booking windows for different session types, such as classes, workshops, and privates. For example, open workshops earlier due to limited spots.

2. Custom schedule release time

Studios using rolling release booking can now set a custom daily release time. This can be set for both the default reservation policy in account settings and custom schedule templates.

3. Employee number fields

Align your team records with external payroll systems more consistently. This makes reconciliation more efficient and reduces the need for manual cross-referencing.

4. Auto-logout for inactivity

You can now automatically sign users out after a set period of inactivity (5–60 minutes). This boosts security, especially on shared devices, and ensures users log in with their own credentials.

Top tip

You can also now enable check-in sounds so your front desk team can react instantly when members check in. Each check-in plays a distinct audio cue.

4 more ways to manage no-shows and late cancels and failed payments

Save revenue, get more people off the waitlist, and make fees less confusing for members with these new flexible settings.

1. More flexibility over no-show and late cancellation fees

Have more control over which membership types can be charged for no-show and late-cancellation fees, whether automatically or manually.

2. Flexible dishonour fee settings

Now your business can have more control and clarity when managing failed payments with expanded configuration settings.

3. Separate settings for members on unlimited credit memberships

Set a separate late-cancel fee, automatically charge at the end of each following day, and provide clearer invoicing.

3 additions to get new members up and running easily

We made joining and paying easier, fairer, and more flexible for everyone.

1. Pro-rated billing for unlimited credit memberships

When members join mid-cycle, Hapana will automatically calculate pro-rata charges so they only pay for the days they use before their first full billing. Fair, flexible, and transparent.

2. Multiple payment types

Store up to 5 payment methods and configure them for "pay today" vs. recurring payments. This gives businesses and members more flexibility in how they handle payments.

3. Multiple signatures & initials in agreements

Businesses gain clearer records, and clients enjoy a seamless signing process that ensures every detail is captured and stored consistently.

Many more updates for better security, UX, and accessibility

We can’t forget to mention the launch of the BRANDS suite. This had a heap of new enhancements, including:

  • access management tools
  • control centre with communication templates & multi-language support
  • customisable reporting dashboards 
  • and so much more
